WhatsApp CRM: From Chat to the Next Action
A useful CRM turns each conversation into context, an owner and a next action. It does not replace service: it prevents follow-up from depending on one person’s memory.
Separate three records
The contact identifies a person or company. The conversation records what was said. The opportunity captures buying intent and its status. One contact may have multiple conversations and opportunities; collapsing them loses history.
Define a next action
Each opportunity needs an owner, action and due date. “Follow up” is ambiguous; “confirm quantities tomorrow before quoting” makes completion observable. Record the outcome even when the sale does not progress.
Hypothetical exercise
An inquiry asks for 20 units. Record the channel and minimal contact details, assign an owner and note that availability is unconfirmed. The next action is checking stock before promising delivery. This is an example, not a PEVENDE customer result.
Review closure
At closure, distinguish won sales, lost sales and inquiries without an opportunity. Keep a short, verifiable reason. A sent response does not prove a sale or justify retaining unnecessary data. A weekly review can detect opportunities without dates and duplicate contacts. Assign a concrete correction to each case rather than filling every record with the same default task. Keep the original conversation accessible when clarifying a disputed outcome.

- Identify contact, conversation and opportunity separately.
- Assign an owner and next-action date.
- Review pending work daily and record outcomes.
